Why your blinds business is busy but not profitable
Full calendar, van always on the road, phone always ringing – and somehow nothing left at the end of the month. Here is where the money actually goes.
There is a specific kind of frustration in this industry: working six days a week, installing constantly, being booked out for a month – and looking at the bank account wondering where it all went. Busy feels like success. It is not the same thing.
The uncomfortable truth is that busy-but-broke is rarely a revenue problem. It is almost always a leakage problem – small amounts of margin disappearing at multiple points between the measure-up and the final payment, invisible individually, brutal in total. Here are the five leaks that show up again and again.
Leak 1: you are quoting off stale prices
Suppliers raise prices once or twice a year. If your quoting spreadsheet or price book is even one increase behind, every job you win is quietly making a few percent less than you think. You still win the job, the customer still pays, and the gap only surfaces months later as “costs seem higher lately.” A business doing $40,000 a month that is 4% behind on supplier pricing is donating roughly $19,000 a year without noticing.
Leak 2: unpriced extras and forgotten surcharges
The oversize surcharge that never made it onto the quote. The motor upgrade agreed verbally at the kitchen bench. The extra bracket set, the special hem, the second trip because the site was not ready. Each one feels too small to chase – and together they are often the entire difference between a profitable month and a flat one. If your quotes are built from memory rather than from a system that applies surcharges automatically, this leak is close to guaranteed.
Leak 3: you are busy with the wrong jobs
Not all busy is equal. A day spent installing a $900 job with two site visits, a tricky access and a fussy strata committee can cost more than it makes – while the $4,000 shutter job you quoted slowly last week went to someone faster. Without per-job margin visibility, businesses default to taking everything, and the calendar fills with work that keeps you moving but not earning. Busy is what it looks like from the outside. Margin per job is what it looks like from the inside.
A simple test: can you name, right now, your three least profitable jobs from last month? If the answer is no, you are not choosing your work – your work is choosing you.
Leak 4: slow quotes are silently killing your best leads
Ironically, being busy makes this worse. The measure-ups pile up, the quotes go out two or three days later, and the highest-intent customers – the ones ready to buy on the day – cool off or sign with whoever quoted first. You keep the slower, more price-sensitive customers and lose the easy, profitable ones. The busier you get, the more this leak widens, which is why “flat out” and “not profitable” so often arrive together.
Leak 5: money you have earned but never collected
The balance payment that was never chased. The deposit that was agreed but not taken before manufacturing started. The service call that should have been chargeable and quietly was not. Revenue you have earned but not banked is the most painful leak of all, because the work is already done. If invoicing and payment collection live in your head or a notebook, some of what you earn every month simply never arrives.
The fix is visibility, not more hustle
Notice that none of these leaks is solved by working harder. Working harder while leaking margin just scales the leak. The fix is being able to see, in one place: current supplier pricing on every quote, every surcharge applied automatically, margin per job before you accept it, quote speed per lead, and every unpaid balance flagged until it is collected.
Busy is a feeling. Profit is a number.
The businesses that escape busy-but-broke are not working more hours – they are the ones who can see their numbers per job, per rep and per month, and started saying no to the work that only looked like money.
Start with one month of honesty: track the true margin on every job you complete – supplier cost, surcharges, travel, second visits, the lot. Most owners who do this find the problem is concentrated in a handful of job types or habits, not spread evenly. Fix the two biggest leaks and the same calendar produces a very different bank balance.
